Terms and Conditions for Setup Fee Purchase.

By purchasing the setup fee for virtual assistant services with CGX Virtual Solutions, the Client acknowledges and agrees to the following terms and conditions:

1. Purpose of the Setup Fee

This payment covers the initiation of the candidate search process. The Client understands that the setup fee is non-refundable and does not guarantee immediate placement, as it is used to identify, screen, and recruit the most suitable virtual assistant for the Client’s needs.

2. Candidate Search Timeline

The candidate search process typically takes 30 to 60 days, though it may be completed sooner. If suitable candidates are not identified within this timeframe, the search may be extended by up to 30 additional days to secure the right match. CGX Virtual Solutions will make every reasonable effort to locate qualified candidates; however, timelines may vary depending on market conditions, candidate availability, and Client responsiveness.

3. Interview Scheduling & Client Responsiveness

The Client agrees to maintain timely communication and cooperation throughout the hiring process. The Client must schedule and attend interviews within 5 days of receiving pre-screened candidate options. If the first round of interviews does not produce a suitable match, CGX Virtual Solutions will extend the search for an additional 30 days at no extra charge.

4. Non-Refundable Payment

The Client acknowledges that the setup fee is non-refundable, regardless of whether they proceed with a candidate, decline to hire, or discontinue the search at any point.

5. Second Interviews & Candidate Availability

If the Client requests a second interview, it must be scheduled within 3 business days of the initial interview If the second interview is delayed beyond this timeframe and the candidate becomes unavailable, CGX Virtual Solutions will not be held responsible for the loss of opportunity. The Client understands that delays may impact candidate availability and should act promptly to secure their preferred assistant.

6. Client Response After Candidate Interview

After interviewing a candidate, the Client must provide written feedback within seven (7) calendar days, specifying whether they wish to:

(a) proceed with the candidate,

(b) schedule a second interview, or

(c) decline and continue the search.

Failure to provide feedback within this timeframe will result in an automatic $500 fee charged to the Client.

This fee compensates for delays in the recruitment process and the lost opportunity to place the candidate elsewhere.

The Client acknowledges that this fee is non-refundable but may be credited toward future services if the Client proceeds to hire through CGX Virtual Solutions within 60 days of the charge.

This policy ensures fairness and respect for the time invested by all parties — the Client, the candidate, and the CGX recruitment team.

7. Commencement of Services Without Signed Agreement

If the Client chooses to begin services with a virtual assistant before signing the official service agreement, the Client acknowledges that doing so constitutes full acceptance of CGX Virtual Solutions’ standard service terms and payment obligations.

In such cases, CGX Virtual Solutions may bill the Client at the agreed-upon service rate or plan, using the same payment method provided for the setup fee. These charges are considered valid and enforceable compensation for services rendered.

The Client further acknowledges that payment authorization through the setup fee transaction serves as consent for subsequent billing if services begin prior to the formal execution of a written agreement.
